Pick multiple — each image becomes a PDF page

Make photographed inventory sheets into one searchable stock PDF

Turn photos or scans of completed stock-count sheets into a single PDF where every sheet stays visible and the SKUs, bin labels and item names behind it can be searched. The page opens with the searchable option selected. Use it for a count packet, a handover file or an audit trail, and keep an Excel or CSV export beside it when you need the quantities as rows.

Order the sheets by aisle, bin or count round

A count packet is only useful if a reviewer can find the sheet for a location. Add the images, then arrange the Pages list in the order your process uses, such as aisle by aisle or round one before round two. Each image becomes one page, so a sheet with a continuation on the back is two images. Give the file a name a colleague will recognize, such as the warehouse and the count date, in the Output filename field before you build.

  1. Photograph each sheet flat, with the location header in view.
  2. Add all the images and arrange the Pages list in count order.
  3. Pick the document language, then the orientation or Image fit.
  4. Build the PDF and search three known SKUs before you file it.

Choose a layout for wide count sheets

Many count sheets are landscape tables with a SKU, a description, a bin and several quantity columns. Choose Landscape for those pages, or switch Paper size to Image fit so each page takes the shape of its photo. Orientation is one setting for the whole document, so a mix of upright and sideways sheets is easier with Image fit, which also switches Margins off. On A4 or Letter, a smaller margin keeps small handwriting larger on the page.

Search for codes and watch the look-alike characters

Searchable mode reads one language for the whole document, so pick the language of the printed headings first. Then search a few SKUs you know are on the sheets. Handwriting and look-alike characters such as O and 0, or 1 and I, are where a search can miss a code that is plainly on the page. Treat the visible sheet as the record and the search box as a way to navigate, not as a count.

Pair the PDF with quantities you can calculate with

A PDF keeps the evidence but cannot add up a column. When quantities must be compared with system stock, read the same sheets into Excel cells or export them as CSV for an import, and file the PDF next to the result as the page-by-page record. Counting the products themselves is a different job, and an object counter works on a photo of the shelf.

Before you file the count packet

  • Check that every sheet shows its date, location and counter name.
  • Keep each photo at 8 MB or less, or shrink large photos first.
  • Open the finished PDF and search at least three known SKUs.
  • Keep the original photos until the count has been approved.

Find a stock entry without opening every photographed count sheet

Keep completed stock sheets together as a searchable document for later reference. OCR starts enabled so recognized item codes and location labels can be found, while the original written counts stay visible on the PDF pages.

Cycle-count evidence packets

Arrange sheet images by location or count sequence so reviewers can find recorded entries and compare them with the visible source.

Stock-check handovers

Share a browseable set of completed sheets, checking OCR searches for a few known item codes before relying on them for navigation.

Build an ordered stock-sheet record with OCR search

  1. Photograph each sheet clearly, retaining location headers and recorded corrections.
  2. Order the pages, select the source language and keep searchable mode enabled.
  3. Export and test known SKU searches, checking ambiguous counts directly on the visible sheets.

Handwritten SKU searches, signatures and count approvals

Will an inventory PDF calculate stock totals?
No. It preserves sheet images and adds recognized text. Export to Excel or CSV when you need reviewed numeric rows for calculations.
Are handwritten SKUs searchable in the finished PDF?
Only successfully recognized writing becomes searchable. Similar characters such as O and 0 need checking, especially on handwritten sheets.
Does OCR remove signatures or crossed-out quantities?
The visible sheet image remains the reference content. OCR adds a text layer; it does not clean up or resolve handwritten corrections for you.
Can this record replace a stock-count approval process?
No. A PDF organizes the provided sheets. Review, reconciliation and approval of the counts still belong to your inventory process.
How do I add a cover sheet or sign-off page to the count packet?
Photograph or screenshot the cover or sign-off page, add it like any other image and move its row to the front or the end of the Pages list. Each image is one page, so the order of the list is the order of the packet.
Why does searching for a bin label find nothing when it is on the sheet?
The text layer comes from recognition, and bin labels are short codes in tight boxes, so similar characters can be misread or a faint pen mark skipped. Try the code with O and 0 swapped, search a longer nearby word, or look at the page itself. A closer, flatter photo usually helps.
Should I use A4 or Letter for inventory sheets?
Pick the paper your sheets were printed on, or Image fit when they vary. A4 and Letter place each photo centered inside the margins without cropping, so a sheet printed on the other size just gets extra white space at the sides or at the top and bottom.
What is the largest photo I can use for a searchable stock PDF?
Each image can be up to 8 MB in searchable mode, and the document has a page limit that depends on your plan. A photo over 8 MB is refused with a message, so reduce it with Compress Image or retake it at a lower resolution.
How many sheets can go into one stock PDF?
Each plan has a page limit, and the tool tells you when you reach it and keeps the pages you already added. For a larger count, build the PDF in parts, for example one per warehouse zone, and join the parts with Merge PDF.
Do I need to rotate sideways sheet photos before adding them?
Yes. The Pages list has no rotate control, so turn the photo upright before you add it. A sideways sheet is harder to read for the people who use the packet and for text recognition alike.
